Day 3
Templates are a framework, not a script. Every reply must be personalized. The tone, pace, and direction of each conversation must be read and adjusted by the VA in real time.

Stage-by-Stage Conversation Flow

Once a lead replies to the opening message, the VA takes full manual control. Each stage has a clear goal. Do not skip stages, each one qualifies the lead further before investing more time.

Stage 7Message Received
System Action: Lead has replied to the opening message. No further automation runs until the VA acts.
VA Task: Reply manually within a reasonable time. Personalize the response — do not copy-paste. Move the lead to Stage 08 after responding.
Outcome: Goal: Build initial rapport. The lead should feel they are talking to a real person.
Stage 8Nurture Questions Sent
System Action: VA has initiated the nurture sequence. System flags lead as active.
VA Task: Ask 2–3 targeted qualifying questions. Identify the lead's pain points. Confirm their level of interest. Keep the conversation natural, this is not an interrogation.
Outcome: If interest is confirmed, move to Stage 09. If the lead goes cold, do not chase excessively.
Stage 9Transition Questions Sent
System Action: Lead is in the business discussion phase.
VA Task: Clarify the lead's core problem. Confirm their readiness to make a change. Briefly introduce the solution — do not oversell. Verify they are qualified before moving forward.
Outcome: Only move to Stage 10 if the lead is clearly qualified and shows genuine interest.
Stage 10Invite to Call Sent
System Action: Booking link has been sent to the lead.
VA Task: Send the booking link with a clear, low-pressure invitation. Confirm the call is on the calendar if they book.

Outcomes:

Books—Success. Confirm and hand off to client.
Not Interested—Mark as Not Qualified. Do not re-engage.
Stops Replying—Leave the conversation. Do not send multiple follow-ups.

The Ghosting Protocol

When a lead stops responding at Stage 08 or 09, do not bombard them or give up immediately. Follow this exact sequence.

Step 1

The Value Bump

After 48 hours of silence

Send a non-salesy resource, a case study, a stat, or a genuinely helpful tip relevant to their situation. No pitch. No ask. Just value.

Step 2

The Break-Up Message

After 7 days of silence

"Hey [Name], assuming this isn't a priority right now. I'll take you off my follow-up list, but reach out if things change!"

Step 3

Archive

Immediately after sending Step 2

Move the lead to "Closed / Lost." This keeps the pipeline clean and your focus on active opportunities.

The Double-Tap Booking Method

Sending a booking link alone is not enough. This method reduces no-shows and increases actual calendar confirmations.

1

Send the Booking Link

Share the link with a brief, low-pressure invitation.

2

The Grab

"I'll drop the link here, but what's your best email? I'll send a calendar invite so we don't waste your time." Collect contact details immediately.

3

Manual Sync Check

Check the calendar 2 hours later. If they have not booked, send one gentle reminder, not a sales pitch.

Conversation Standards

Always personalize

Reference something specific about the lead or their situation in every message.

One question at a time

Do not stack multiple questions in a single message. It overwhelms and reduces reply rate.

Match energy

If the lead is brief, be brief. If they are detailed, respond with detail.

No pressure

Never push for the call aggressively. The goal is a natural, low-resistance invitation.

Do not chase

If a lead goes silent after 2 follow-ups, stop. Move focus to active leads.

Automation fills the pipeline. Human conversation converts it. The VA's ability to build rapport and handle objections is the difference between a full calendar and an empty one.
